We are currently seeking a Property Associate to join our growing Industrial property management team on site in West Las Vegas.

As a Property Administrator at JLL, you will apply your commercial property management admin experience to support our industrial property management team by interacting with tenants, assisting with budgets and financial reports, reconciling A/R accounts and coding invoices, tracking certificates of insurance. This is a great opportunity to advance your career in commercial property management if you have a positive attitude, are proactive and can think ahead to anticipate the administrative needs of the team.

What We're Looking For

  • A high school diploma is requiredBachelor’s degree is preferred. 

  • (2+) years of experience supporting a commercial property management team is preferred.

  • Advanced oral and written communication skillsStrong organization and time management skills. 

  • Experience in Microsoft Office, Excel, certificate of insurance compliance and tracking, contract management, tenant interaction, Yardi, accounts payable preferred.

As a Property Assistant, you will be involved in all aspects of managing a commercial building – from operations and financial activities to managing important relationships with our tenants and property owners. From managing service contracts and tracking bid packages, to completing property inspections and making recommendations, you’ll have the opportunity to share your innovative ideas to continually improve how we manage our commercial properties.

What you bring:

  • 1-3 years’ experience in property management: commercial, residential, or multifamily.
  • Proficient in Microsoft Office (MS Outlook, MS Word, MS Excel).

Bonus skills and experience

  • Familiarity with real estate software such as Yardi, MRI, etc.
  • Experience with Invoice processing and budget preparation.
  • Experience with contract and leasing agreements preferred.
  • Nevada Real Estate License and Property Management Permit or an ability to obtain.

What success looks like:

  • You develop and maintain strong relationships with property owners, tenants, vendors and contractors.
  • You respond in a timely manner to tenants’ needs to meet lease obligations.
  • You support senior management by preparing regular ownership reports.
  • You successfully manage all administrative tasks, including work orders, service requests, rent and expense payments, property maintenance and vendor compliance requirements.

Job Description Summary

Performs the administrative functions of the Property Management Team assuring a high level of professionalism in property issues, including timely response to and resolution of any tenant requests or concerns.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Provide full administrative support to Property Managers

  • Schedule and coordinate meetings
  • Assist in maintaining tenant contacts and insurance information
  • Prepare and coordinate bid proposals, service contracts
  • Track and file contracts and insurance certificates; maintain follow-up system for expirations
  • Ensure prompt and accurate completion of contract and certificates of insurance information
  • Monitor and maintain the property and tenant maintenance work orders
  • Promote and foster positive relationships with tenants and clients and track service calls as required
  • Maintain lease and contract files
  • Prepare and code invoices for Property Manager’s approval
  • Assist with monthly and quarterly management reports as well as annual budget preparation
  • Process tenant bill back invoices and tenant account adjustments through accounting, expense reports, monthly meter readings of properties, and check requests for review and approval

IMPORTANT EDUCATION

WORK ENVIRONMENT & PHYSICAL DEMANDS
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly use hands to operate office machinery and regularly required to walk, talk, and hear.
